How to share content with your guests

Share schedules, files, invoices, meeting notes and tasks with your guests, and choose who sees what.

Written by Gail Esterhuyse

You can share schedules, files, invoices, meeting notes and tasks with your client and trades. Sharing works the same way for all of them. This guide shows you the steps, and what is different for each feature.

Before you begin, set up your dashboard. Refer to Setting up your Project Dashboard.

Note: This guide is for projects that use the new Schedules. Your older projects keep the previous sharing. For older projects that use the Client Dashboard, see How to publish content to the Client Dashboard (legacy projects).

Share one item

Each item has a Share drawer. It works the same way for all features.

  1. Open the item, or select ⋯ next to it.

  2. Select Share.

  3. In Share with..., enter an email address, or select a contact.

  4. Select or clear Email guests.

  5. Optional: Type a personal note in Message.

  6. Select Share.

Your guest then shows in the drawer. Their status is Shared, not viewed yet until they open the item.

If the feature for this item is off for your guest, Programa asks you to turn it on. Select Turn on and share.

Share many items at once

Use Share project to choose what a guest can see across the whole project.

  1. On the Project overview, select Share project.

  2. In Share with..., enter an email address, or select a contact.

  3. Select the chevron next to the guest. Their project visibility opens.

  4. Under Features, select the features that the guest can see.

  5. Select the chevron next to a feature.

  6. Select the items that the guest can see.

  7. Select Save.

  8. Optional: To see the dashboard as your guest sees it, select Preview project as.

  9. Select or clear Email guests.

  10. Optional: Type a personal note in Message. It shows on your guest's Overview page and in the email.

  11. Select Share.

Note: Save doesn't send an email. Programa sends an email only when you select Share with Email guests selected.

What's different for each feature

Feature

What to know

Full steps

Schedules

Choose the schedules, and the fields in each one. For example, show pricing to your client but not to your builder.

Files and folders

Share one file, or a full folder. Files that you add to a shared folder later are shared too.

Presentations

Your guest sees product details from the presentation pins. The fields follow their schedule visibility.

Pinboards

Share from the pinboard or from Project Files.

Canva designs

Add the design to Project Files first. Then share it like any other file.

Invoices

Only studio admins and owners can share invoices. When you send an invoice, Programa also shares it with each recipient. Your client can pay online.

Meeting notes

Only the meeting host, or a studio admin or owner, can share. Choose the sections that each guest sees. Transcripts and recordings are never shared.

Tasks

Your guest sees a task when you assign it to them. They can add comments. Programa doesn't send an email when you assign a task.

How to share tasks with your guests

Public links

Use a public link when a person needs to see something, but isn't a guest. For example, a supplier.

  1. Open the Share drawer.

  2. Select the Public tab.

  3. Set the public link to on.

  4. Copy the link and send it.

Presentations, pinboards, invoices and meeting notes each have their own public link. Files, folders and Canva designs show through the project public link, from Share project.

A public link is view-only. People can't approve products, pay invoices or add comments with it. If you turn a link off and on again, the link stays the same.

Stop sharing

In the item's Share drawer, select ⋯ next to the guest. Then select Remove access, for example Remove access to file.

Programa doesn't send an email. Your content doesn't change, and you can share it again at any time.
