How to share a presentation with your client

Share a presentation with your guests, turn on a public link or QR code, hide pages from sharing and exports, and manage access.

Note: This guide is for projects that use the new Schedules and the project dashboard. For older projects that use the Client Dashboard, see How to share a presentation with your client online (legacy projects).

Share a presentation with your client, builder or trades. They see it on their project dashboard. They can open the product pins and, if you allow it, approve or reject products.

Before you begin, set up your dashboard. Refer to How to set up your Project Dashboard

How sharing works for presentations

  • Presentations are in Project Files. Your guest sees only the presentations that you share with them.

  • The product information in a presentation follows your guest's schedule visibility. For example, if your guest can't see pricing in a schedule, they can't see pricing on the pins from that schedule.

  • Sharing a presentation doesn't share the schedules in it. Your guest sees the pinned products, but they can't open the schedule unless you share it too.

  • To approve or reject products, your guest must open the Project link. The public link is view-only.

Share a presentation

  1. Open the presentation.

  2. Select Share at the top right. The Share drawer opens.
You can also open Project Files, select ⋯ next to the presentation, then select Share.

  3. Optional: To see the presentation as your guest sees it, select Preview presentation.

  4. In Share with..., enter your guest's email address, or select a contact from your address book.

  5. Select or clear Email guests:

    • Selected: Programa emails your guest. You can add a personal note in Message.

    • Cleared: Programa doesn't send an email. Copy the Project link and send it to your guest yourself.

  6. Select Share.

If Project Files isn't on for your guest, Programa asks you to turn it on. Select Turn on and share.

Your guest then shows under Shared with. The status is Shared, not viewed yet until they open the presentation.

To share many presentations or files at once, use Share project. Refer to How to share content with your guests

Share a public link

Use a public link when someone needs to see the presentation but isn't a guest. For example, a trade on site.

  1. Select Share.

  2. Select the Public tab.

  3. Set the public link to on.

  4. Copy the link, or use the QR code.

  5. Send the link.

A public link is view-only. People can't approve products or add comments with it.

When you turn the link off, people who open it see an "unavailable" message. When you turn it on again, the link stays the same.

Use the QR code

The QR code opens the live presentation. Your guest doesn't need to log in.

  • On site: add the QR code to your PDF export. Your builder or trade can scan it and see the live presentation on their phone.

  • In meetings: your client can scan it and open the presentation on their own device.

Hide pages from sharing and exporting

Hide a page when you want to keep it in your presentation, but your client must not see it. For example, an internal working page or a design option that isn't ready.

  1. Open the thumbnail slider on the right side of the editor.

  2. Select ⋯ on the page.

  3. Select Hide.

Hidden pages show a small icon in the top left.

When you hide a page:

  • Shared presentations: your guests don't see the page on their project dashboard or on the public link.

  • PDF exports: Programa doesn't include the page.

  • Your editor: the page stays in your presentation. Your team can edit it.

To show the page again, select ⋯ on the page, then select Unhide.

Manage or remove access

In the presentation, select Share, then select ⋯ next to the guest. Then choose one of these options:

  • Preview presentation as: see the presentation as your guest sees it.

  • Email presentation again: send the email again. Their access doesn't change.

  • Manage presentation visibility: change the product information that your guest sees.

  • Remove access to presentation: remove this presentation only. Your guest can still see the project and other items that you share.

To turn off a public link, set it to off in the Public tab

Programa doesn't send an email when you remove access. You can share again at any time.

Mobile and desktop

Your guests can open a presentation on their phone. But a laptop or desktop is better. The pins and product details are easier to use on a large screen.

If your client needs help, you can send them How to view presentations in your project dashboard: client guide.
