How to share Canva files with clients

Copy a smart embed link from Canva, add it to Project Files as a Canva embed, then share the file with your guests.

Note: This guide is for projects that use the new Schedules and the project dashboard. For older projects that use the Client Dashboard, see How to share Canva files with clients (legacy projects).

Connect your Canva designs, proposals and documents to Programa. Then share them with your client on their project dashboard.

Before you begin, set up your dashboard. Refer to How to set up your Project Dashboard

Step 1: Get your smart embed link from Canva

  1. Open your Canva file. Select Share, then More.

  2. Select Live Embed.

  3. Select Embed again in the pop-up.

  4. Copy the Smart embed link.

TIP: To stop the connection at any time, select Delete embed in Canva. You can make a new link later.

Step 2: Connect your Canva file to Programa

  1. Open your project.

  2. Select Create file at the top right.

  3. Select Canva Embed.

  4. Enter a Presentation Name.

  5. Paste your smart embed link.

  6. Select Add.

Your Canva file is now in Project Files.

Step 3: Share your Canva file

  1. Open the Canva file, then select Share.

  2. Optional: To see the file as your guest sees it, select Preview in dashboard.

  3. In Share with..., enter your guest's email address, or select a contact from your address book.

  4. Select or clear Email guests:

    • Selected: Programa emails your guest. You can add a personal note in Message.

    • Cleared: Programa doesn't send an email. Copy the Project link and send it to your guest yourself.

  5. Select Share.

If Project Files isn't on for your guest, Programa asks you to turn it on. Select Turn on and share.

Your guest sees only this file. If the file is in a folder, your guest sees it in that folder, but they don't see the other files in it.

To share many files at once, or a full folder, refer to How to share content with your guests

Share with people who aren't guests

Canva files don't have their own public link. To show a Canva file to someone who isn't a guest, add it to your project's public link:

  1. On the Project overview, select Share project.

  2. Select the Public tab.

  3. Select the Canva file.

  4. Select Save.

  5. Copy the link and send it.

Manage or remove access

In the Canva file, select Share, then select ⋯ next to the guest. Then choose one of these options:

  • Preview in dashboard: see your guest's Project Files, with this file highlighted.

  • Email file again: send the email again. Their access doesn't change.

  • Remove access to file: remove this file only. Your guest can still see the project and other items that you share.

  • Manage project visibility: change all the features and items that your guest can see.

Programa doesn't send an email when you remove access. You can share again at any time.

To stop everyone seeing the file, delete the smart embed link in Canva: open your file, select Share > Embed, then select Delete embed.
