Every project starts with All products, which contains every product in the project. Create schedules to show those products by room, task or audience.
A schedule saves which products appear and how you arrange them. Choose a view to control how the schedule looks on screen.
1. Choose how to start
You can add products first and arrange them, or create the schedule before adding products. Choose whichever suits where you are in the project.
Create the schedule first
Open All products and select Create a schedule.
Enter a schedule name, such as By Location.
Choose which products to include.
Add locations or labels, or select a category.
Set the grouping, display type and visibility.
Select Create.
Add products or use those already in the project. Products appear when they match the schedule’s selected locations, labels, categories or groupings.
If a product does not appear, select View all products. Check that its location, label or category matches the schedule settings.
Start with your products
Add products in All products. Follow the steps below to group them, choose a view and select the fields to show. Use filters if you only need some products.
When the arrangement is ready, save it as a new schedule.
Use the same settings to change an existing schedule.
2. Group products under headings
Grouping organises products under headings, such as Location, Supplier or Label.
Open Display options.
Under Grouping, select an option. For example, select Location to group products by room.
Use the ordering control beside Grouping and the drag handles to set the heading order.
Grouping changes how products are organised. To narrow which products appear, add a filter as described below.
3. Choose a view
Open Display options. Select a view at the top of the panel.
View | Best suited to |
Classic — default | A traditional schedule table with preset fields. |
Sheet | Comparing and editing fields side by side. Columns can be selected, resized and rearranged. |
Card | Reviewing selections through large product images and essential details. |
List | Scanning large schedules through compact rows with a thumbnail and up to six fields. |
Switch views at any time. The products stay the same.
4. Show the fields you need
Open Display options → Displayed fields, below the view selector. The options depend on the view:
Classic: Select Summary or Financial.
Sheet: Select the field count to open the checklist. Search for and select the fields you need. Drag column edges to resize them. Drag headers to change the column order. Search for a field to go to its column.
Card: The preset fields are fixed.
List: Select up to six fields. If six are selected, deselect one before you select another.
Open a product to see its full details.
Include category specifications
In Sheet, turn on Category specs under Displayed fields. Category specifications appear in one column. Shared fields have separate columns.
In List, select category fields under Displayed fields. The six-field limit still applies. In Classic and Card, open the product details to see category specifications.
To learn how categories add extra fields to a product, see How to complete a product specification.
5. Filter products if needed
Use filters to show only the products you need, such as Kitchen products or products labelled Builder Supplied. Leave filters off to show all products.
Open Filter. Select a field, then choose the values to include.
You can filter by Status, Location, Brand, Supplier, Lead time, Label, Category, assembly products, Revision or Synced with SketchUp.
Active filters appear above the product list. Clear a filter to show the products it excluded.
For example, group by Location to show room headings. Then filter by Category → Lighting to show only lighting products in each room.
6. Sort the products
Sorting controls the product order. If products are grouped, the sort order applies within each group.
In Display options, select a Sorting option, such as Doc code or Status. Use the direction control beside the dropdown to reverse the order.
Select Manual sorting to drag products into the order you need.
7. Save the schedule
Open Save in the filter bar or the schedule’s header menu.
Select Save changes to update the current schedule. Select Save as a new schedule… to create another schedule.
For a new schedule, enter a name. Choose whether the schedule is private to you or visible to the project team. Then save it.
The saved schedule appears under Schedules in the project menu. It keeps your grouping, sorting, filters, view and displayed fields.
If you change which Sheet fields appear in All products, a new saved schedule keeps that field selection. The selection also remains in All products.
Understand what saves immediately
Product edits save immediately. They update the shared product record for everyone, including edits you make in a private schedule.
Display changes affect your view until you save them. Your team continues to see the last saved arrangement.
For example, you can temporarily change the sort order of a shared schedule. Your team continues to see the saved order. Any product values you edit still update for everyone.
Save changes also updates the arrangement in active web links and Client Dashboard shares. Recipients keep the same field permissions, pricing visibility and approval rights. Manage these settings in Share.
Save as a new schedule… keeps the original schedule and its shares unchanged.
Other display options
Open … at the top right for these options:
Show archived: Include archived products.
Terms & conditions: Show the schedule terms.
Estimated shipping: Turn estimated shipping on or off for the project. When it is off, shipping fields are hidden in every product’s Financial tab.
