How to complete a product specification

Set a product's category, then fill in its specifications, quantities, images, files and notes.

Written by Gail Esterhuyse

Add the specifications, quantities and supporting information for each product. Start with the details you know. You can add more information as the project develops.

1. Open the product

Open the product from your current view:

  • Classic: select Details on the product row.

  • Card: select the product card.

  • List: select the product row.

  • Sheet: edit fields in the cells or open the product details drawer.

Changes in the product details save automatically. A change appears in every schedule that includes the product.

2. Set the category

Set the category first. It controls which technical fields appear for the product.

Use the supplier’s product information to complete the category fields.

  1. Open the Summary tab.

  2. Under Product details, select Product category.

  3. Search for a category or browse the list. Select the category for the product.

  4. In Summary, find Category specifications. Complete the relevant fields.

To set the category when you create a product, select Add by category.

To assign a category to several products, select their checkboxes. Select Actions → Update category…. See : How to edit multiple products

3. Complete the specification

Specification type

Use it for

Product details

Name, description, doc code, category, brand and SKU.

Product specifications

Dimensions, colour, finish and material.

Category specifications

Technical details for the selected category.

Custom specifications

Details that do not have a dedicated field.

Select a field and enter its value. Repeat for the other fields you need.

To add a custom specification:

  1. Scroll to Custom Specs.

  2. Select + Add Spec.

  3. Enter a label, such as Warranty, Installation, Grout Colour or Lay Pattern.

  4. Enter the details.

  5. Press Enter to save.

You can add more custom specifications as needed. They appear in the product details, exports and schedules shared to the Client Dashboard.

4. Set quantities and locations

In Summary → Locations & quantities, enter the required quantity. Select a quantity unit where needed, such as m² for flooring. The unit appears beside the quantity.

Add locations to show where the product goes. Enter the quantity needed in each room or area. For the steps, see: How to allocate one product across rooms or areas

5. Add images, files and notes

Add and arrange images in the image strip at the top of the panel. Put the main image first. Hover over an image button to see what it does.

Add files, such as tear sheets and installation instructions, under Attachments. If you added the product from a URL, check the supplier files already attached. Remove any files you do not need.

Choose a notes field based on who needs the information:

  • Notes: Add general information, requirements or warnings. Use formatting, including text colour, to highlight key details. Turn on Notes to include this information in shared and exported schedules.

  • Internal notes: Add information for your project team only. Internal notes do not appear in shared schedules or PDF exports.

6. Review the specifications

Open Sheet view and filter by category to review similar products together. Compare the category specification columns. Enter missing details directly in the cells.

For a quick review, use List to display up to six fields. Use Sheet when you need to check more fields.
