How to add pricing, markups, and client discounts (legacy projects)

For projects that use legacy Schedules: add retail and trade prices, calculate markups and apply client discounts.

Written by Gail Esterhuyse

Note: This guide is for older projects that use legacy Schedules. For projects that use the new Schedules, see How to set product costs and client prices.

This guide shows you how to manage your product pricing in Programa's Schedule, from entering retail and trade prices to calculating markups and client discounts.

Adding retail and trade pricing

Note: Access to the Financial view is role-dependent. Editors can only view this tab if an Owner has enabled financial access for them. To manage this, go to Settings > Team.

  1. Within your Schedule, click Financial in the top schedule toolbar to open the financial view

  2. Type the RRP (MSRP) of the product into the field provided (if applicable)

  3. Type the Trade Price into the field provided (if applicable)

  4. Add the Quantity to calculate the total product cost.

Your schedule will automatically calculate the percentage trade discount and total product cost based on the nominated quantity.

This works both ways - you can also enter your RRP and trade discount percentage, and Programa will automatically calculate your trade price and total product cost.

Note: Programa doesn't stipulate whether pricing is tax inclusive or exclusive, as users have different preferences. Choose your approach and note it when sending pricing to clients.

You can also set up your tax rates directly through the platform - learn more about this process here.

Tip: Converting supplier pricing to match your project's tax setup

If your supplier's pricing doesn't match how your project handles tax (for example, your supplier quotes ex tax but your project prices are inc tax), use our Product tax calculator.

Enter the supplier price and tax rate, choose whether the supplier price includes or excludes tax and how your project prices are set up, then copy the calculated price into your Schedule.

The calculator converts one price at a time and doesn't include quantity, markup, or shipping, as these are calculated in your Schedule. Always check the applicable tax rate before using the result.

Calculating markups and client discounts

You can add your markup percentage to each product line within your schedule, and this will automatically be reflected in your client pricing and discounts.

  1. Within your Schedule, click Financial in the top schedule toolbar to open the financial view

  2. Toggle on the Add Mark-up toggle to the top right of your schedule—this will surface extra calculation fields

  3. Enter your markup percentage, which will automatically calculate your client savings field, total client price, and profit

The calculations work in multiple ways. You can:

  • Enter a markup percentage to calculate client savings, client price, and profit

  • Enter a total client savings percentage to calculate markup and client price

  • Enter a final client price to calculate all other relevant fields

Important: Turning on the Add Mark-up toggle changes what clients can see.

With it enabled, clients will only see the Unit RRP, percentage client savings, and total client price - your markup percentages and trade pricing remain hidden.

Without it enabled, clients can view both your trade price and retail price.

Note: It's not possible to hide the RRP field when sharing your schedules online, even if the markup toggle is enabled.

To hide all RRP information at this time, we recommend exporting your schedule as a PDF and toggling off the Product RRP option. Learn more about it here: How to export your Schedules & Spec sheets to PDF
