How to Export your Schedule & Spec Sheets to PDF

Please note: Our platform's design has recently been updated, so you may notice differences in screenshots and videos in this guide compared to the current layout. The steps and functionality outlined in this guide remains the same.

How to export to PDF

Programa will automatically generate a branded A3 landscape export in just a few clicks. The PDF includes a cover page with your studio name and logo, project name, schedule name, notes, disclaimer and the current date.

  1. In your schedule toolbar, click the 3 dots to open schedule options

  2. Click export as PDF

  3. Switch off any columns that you wish to hide from the list provided. These fields won't appear in your exported PDF

  4. Add any notes that you'd like to include on your cover page. These might include the revision number or any other information you feel is relevant.

  5. Click Export

Optional schedule columns in PDF export

You have the option to show or hide specific columns in your PDF export. Each column contains several product information fields. When a column is hidden, all the corresponding information fields will not appear in your schedule. Likewise, when a column is shown, all the related information fields will appear in your schedule.

You can choose to show or hide as many columns as you like.

Optional column information fields:

  • Brand Details includes the Product Name (given by the brand), Brand Name and Product URL

  • Supplier Details includes the Supplier Company Name, Sales Representative Name and Contact Email

  • Order Info includes the Product QTY, Product Code (SKU) and Lead Time

  • Product RRP includes the Unit RRP and Total RRP

  • Product Client Price includes the Unit Client Price and Total Client Price (note, client price is calculated from your trade price + product markup %)*

* If you want to charge RRP, we recommend toggling on 'Add Markup', ensure you have a QTY of at least 1, then change your Client Price to 0%, and this will automatically recalculate the fields around it. Your Client Price field will now match the RRP, and this is what will present on your PDF export.

Selective PDF Exports

Programa allows you to export specific sections or products within your schedule as a summary PDF. Here's how to selectively export:

1. Use the Checkbox icon to the left of your product row to multi select any products that you would like to export out as a PDF.

2. You can also select entire sections by clicking the checkbox next to the section heading.
3. Click the black action button in your top tool bar

4. Select Export as PDF
5. Switch off any columns that you wish to hide from the list provided. These fields won't appear in your exported PDF

6. Add any notes that you'd like to include on your cover page. These might include the revision number or any other information you feel is relevant.

7. Click Export

Product Spec sheet Exports

You also have the ability within Programa to export each of your Product details pages to PDF. You can do this individually or in bulk.

Individual Spec sheet export:

  1. To export and individual PDF of a Product details page/spec sheet- within you Schedule, click the > icon next to your product to open the details page.

  2. Select the Download PDF button in the top toolbar to the right hand side of your screen.

  1. In your schedule toolbar, click the 3 dots to open schedule options

  2. Click export as PDF

  3. Check the Export with detailed product spec sheets box

  4. You will be emailed a link to download your schedule package once everything has been exported
