Copy a legacy project into the new Schedules

Create a separate project in the new Schedules. Check what transfers, then assign categories and locations to the copied products.

Written by Gail Esterhuyse

Use Try the new experience to copy an existing project into the new Schedules model.

The copy is a separate project. Your original project, purchase orders and invoices stay unchanged.

You can start from the project menu or the migration callout on the project overview.

1. Check what transfers

Copy one project at a time. Use this table to check what the new project includes and what you need to add.

Information

What happens when you copy

Legacy schedules

Each schedule becomes a saved schedule. All saved schedules use one project product list.

Products

The new project includes the products, images, files, quantities and statuses.

Section headers

Section headers become labels. Products stay in the same order.

Tax rates

Tax rates stay the same.

Flags

Flags become a revision named Internal Flag. Flag notes become product notes.

Categories

Products have no category. Assign categories after you copy the project.

Rooms and allocations

Rooms and allocations do not transfer. Assign the copied quantities to locations.

Purchase orders and invoices

Purchase orders and invoices stay in the original project.

2. Copy the project

  1. Open your legacy project.

  2. Open the … menu at the top right.

  3. Select Try the new experience.

  4. Check the preview counts for products, images, files and new labels.

  5. Name the new project. You can change the name later.

  6. Select Create project.

You can continue to work while Programa copies the project. Most copies take less than a minute. A project with many images can take longer.

When the copy is ready, Programa notifies you in the app and by email. Check the product and label counts in the message. Use the link to open the new project.

3. Complete the new project

Assign a category to each product. The category shows the product’s technical fields. To assign the same category to several products, use a bulk action.

Allocate quantities to rooms or areas. Add the locations that use each product. Divide the copied quantity between those locations. All locations use the same product record.

Choose which project your team will use. After you move your work to the new project, we recommend archiving the original to avoid confusion. Its purchase orders and invoices stay there.

If you cannot copy the project

Try the copy again. If it fails again, contact support through live chat. A failed copy does not change your original project.
