This guide shows you how to find, share and manage your invoices in Programa so you can stay organised and keep your records up to date.
Filtering and sorting your invoice list
Your invoice list is organised into status-based tabs at the top of the page: All, Draft, Issued, Partially Paid, Paid, Overdue, and Void & Uncollectible. Click any tab to view only invoices in that status. You can combine tabs with the filter and sort options below to narrow your view further.

From the Invoices tab you can filter and sort your list to find specific invoices quickly.
To filter, click the filter icon in the top-right of the invoice list. You can filter by Status, Due date, Invoice total, Issued date, Client name, or Invoice number.
To sort, click the up/down arrow icon next to any column heading. You can sort by Invoice number, Client name, Issued date, Invoice total, Due date, or Status.
Sharing an invoice
When you send an invoice, it is delivered directly to your client's email inbox. To receive a copy yourself, add your own email address to the CC field when sending . You can also download the invoice PDF at any time from the invoice detail view.
Publishing to the Client Dashboard
When an invoice is sent, it is automatically shared to the recipient's Client Dashboard, giving them a central place to view and track all their project invoices.
To manually add an invoice to a client dashboard
Open an invoice with an Issued, Paid, or Void status
Click Share
Toggle on Publish to Client Dashboard
Enter your client's email address and click Add
Your client will receive a notification email with two links - one to view the invoice directly, and one to access their full Client Dashboard.
Invoices in Draft status cannot be shared to the Client Dashboard. Send the invoice first to enable the Share option.
Resending the Client Dashboard link
If your client needs the link resent, click the 3-dot menu next to their email address in the Share panel and select the resend option.
Removing client access
To remove an invoice from the Client Dashboard, either toggle off Publish to Client Dashboard, or click the 3-dot menu next to the recipient and select Delete access.
Downloading a PDF copy
Open the invoice from your Invoices list
Click the Download icon to save a PDF copy to your device
Deleting draft invoices
To delete a draft invoice, click the 3-dot menu next to the invoice in your invoice list and select Delete Invoice.
Once an invoice has been sent, it cannot be deleted. Sent invoices can be marked as Void or Uncollectible instead, which moves them to the Void & Uncollectible tab.

βNote: If you have QuickBooks or Xero connected, only the Void option is available (not Uncollectible), as voiding is the recognised cancellation method in both accounting platforms.
