Getting Started with Pulse: Your Daily Action List

Learn how to navigate Pulse in your Programa account

Pulse keeps you focused on what matters most. No more jumping between projects or chasing down updates β€” Pulse automatically surfaces your most important actions across all active projects in one place, updated in real time throughout the day.

Where to Find Pulse

Pulse appears in your left side navigation bar. A number badge next to it shows how many items are currently waiting for your attention.


How Pulse Works

The first time you open Pulse each day, it reviews your active projects and generates a list of up to 20 actions that need your attention. As you action each item, your progress updates in real time.

Note: Pulse updates throughout the day as new activity happens across your projects. Product cards in your daily feed also refresh in real time as you make edits in the side panel, so what you see is always current.


What Each Action Type Means

1. Log Yesterday's Time

This reminder appears every day, prompting you to log your time across all active projects.

To log time:

  1. Select Log Time and choose the project you want to log time against.

  2. Select Add Time Entry, then choose an existing task or create a new one.

  3. Enter your time and repeat for any additional projects.

  4. Select Done when finished.

2. Review Approved & Rejected Products

If a client has approved or rejected a product, it will appear here so you can review the details before taking the next steps.

To action an approved or rejected product:

  1. Select the review button to open the approved or rejected products.

  2. Read the client's comments or rejection reason in the Comment panel.

  3. Click the product to open it and make any necessary edits.

  4. When ready, update the product status using the drop-down to continue or resubmit for client review.

  5. Select Done to save your changes.

Tip: If no further action is needed, you can select Mark As Read to dismiss the item from your Pulse list without making any changes.

3. Task Actions

Pulse keeps your most time-sensitive tasks in front of you, so nothing slips between Project Management, your To-do List, and your Schedules.

Pulse will surface a task in your daily feed when:

  • A Project Management task is overdue

  • A Project Management task is due today

  • A task marked as a Key Date falls on today's date

  • You have incomplete to-do tasks across your studio that haven't been picked up yet.

To action a task from Pulse:

  1. Select the task in your Pulse feed to open it.

  2. Mark it complete, skip it, reschedule, or update its status

  3. If the task is also in your To-do List, the change syncs automatically.

Note: Pulse only surfaces Project Management tasks that are assigned to you and have a due date set. If a task isn't appearing, check both conditions are met.

Tip: If something is showing up that you don't need to action, select Mark As Read to dismiss it from your feed without changing the task itself.

4. Invoice Actions

Pulse helps you stay on top of invoicing without checking your invoice list every day. It surfaces invoices that need your attention.

Pulse will surface an invoice in your daily feed when:

  • An unpaid invoice is due soon - giving you an early heads-up before it becomes overdue

  • A draft invoice has been left unsent for between 7 and 30 days

To action an invoice from Pulse:

  • Select View on the invoice card to open it.

  • For an unpaid invoice due soon, send a reminder to your client in one click.

  • For a draft invoice, review the line items, finalise, and send.

Tip: If you don't want to action an invoice item right now, select Mark As Read to dismiss it from your Pulse feed without changing the invoice.

5. Products with Missing Details

Pulse helps you keep your Schedules clean by flagging products that are missing the details your studio relies on for procurement, pricing, and supplier coordination.

Pulse will surface a product in your daily feed when:

  • A product is missing a price

  • A product is missing a supplier

  • A product is missing a lead time

To action a product from Pulse:

  1. Select the product in your Pulse feed to open the side panel.

  2. Add the missing detail (price, supplier, or lead time) and save.

  3. The product card updates in real time, and the item drops off your Pulse list once the details are filled in.

Personalise Your Feed with Custom Pulse

In addition to Programa's built-in Pulse actions, you can create your own recurring actions using Custom Pulse.

Custom Pulses can also be edited after creation - update the title, content, or criteria whenever your studio's focus changes, without needing to delete and recreate them.

A Custom Pulse lets you describe what you want to monitor across your studio. Programa's AI sets up the check for you, and it appears in your Pulse feed each day that relevant products are found.
