Export and share your schedule with clients

This guide shows you how to get your schedules to clients using three different methods- professional PDFs, interactive online links, or instant QR code access.

Method 1: Export to PDF

Use this method when you need professional, branded printed documents for client presentations.

  1. Click the 3 dot menu in the top right corner of your Schedule

  2. Select Export as PDF

  3. Toggle on or off any fields you want to show or hide from the export

  4. Add Cover page notes if needed (revision numbers, special instructions, etc.)

  5. Click Export

Your PDF downloads immediately for most schedules. Larger schedules may take a few moments to generate.

Customizing your PDF:

  • Show or hide columns to control which product information appears

  • Each column contains multiple information fields that display or hide together

  • PDF exports include live URL product links for each product (unless Brand or Supplier toggles are turned off)

  • Your PDF includes a branded cover page with your studio name and logo, project name, schedule name, notes, disclaimer, and current date

When to use PDF export: You need a polished, static document for client, contractor bids, or printed materials.


Method 2: Share via Client Dashboard

Use this method for ongoing projects where clients need to view live schedules, provide feedback, or approve selections.

  1. In your Project Files list, click the three dots menu to the right of the Schedule you want to share (or click into your Schedule)

  2. Select the Share button

  3. Toggle on Publish to Client Dashboard

  4. Add your client's email address in the provided field and click Add

  5. Select the Access dropdown next to their email and choose the desired access level

What clients see: Clients access a central dashboard with all shared Schedules, Pinboards, and files in one location. They can view live schedule updates, filter & sort views and submit approvals, with comments (if enabled).

When to use Client Dashboard: You're working on active projects where clients need ongoing access to review selections, track changes, or provide approvals.


Method 3: QR Codes

Use this method when trades, contractors, or clients need instant mobile access to live schedules while onsite.

  1. Navigate to your Schedule and click the three dots to the right of your schedule name (or click into your schedule)

  2. Click the Share button

  3. Turn on the Publish to Web option

  4. Toggle fields on or off to choose what information to display or hide

  5. Click the Box and Arrow icon to preview your online schedule

  6. Select the QR Code button to download a PDF QR Code

Anyone can scan the code with a smartphone to instantly access your project's live schedule anywhere, on any device—no searching for printed schedules or remembering URLs.

When to use QR codes: Trades and contractors need quick onsite access to the latest schedule information, or you want to provide instant mobile access at client meetings.
