How to use Board, List, and Timeline views

Project Management offers three views—Board, List, and Timeline—each designed to help you organize and track tasks differently. Understanding when to use each view helps you manage projects more effectively based on your current needs.

This guide shows you how to switch between Board, List, and Timeline views in Project Management, and what each view offers, so you can pick the right one for how you like to work.



Switching views

Project Management offers three ways to view your tasks and phases: Board, List, and Timeline.

  1. Open your project and go to the Project Management tab

  2. Click the view tabs at the top of the screen

  3. Select Board, List, or Timeline

You can switch between views at any time — your tasks and phases stay the same, only how they're displayed changes.


Using Board View

Board View uses a Kanban layout with tasks organized into status columns: To Do, In Progress, In Review, and Done.

Note: Status columns are standard across all projects and can't be renamed or reordered. Your phase order, however, is fully customizable — drag phases using the six-dot handle in your Project Management settings. See How to set up and organize projects with phases for more.

To update a task's status:

  1. Click and drag the task card into a different column

Each task card shows:

  • Task name

  • Assigned phase

  • Team member responsible

  • Target date

  • Subtask completion count

When to use Board View: you need a visual overview of task status, want to move tasks quickly as they progress, or are identifying bottlenecks in your workflow.


Using List View

List View organizes tasks in a sortable list format, grouped by status sections: To Do, In Progress, In Review, and Done.

To update a task's status:

  1. Click into the task and select a new status from the Status dropdown

Each task row shows:

  • Task name

  • Assigned phase

  • Team member responsible

  • Target date

  • Time tracked against the task

When to use List View: you need detailed information across multiple tasks at once, want to sort or filter by specific criteria, or are reviewing time tracked against tasks.


Using Timeline View

Timeline View displays project phases in a Gantt-style timeline format, with phases listed on the right and a timeline on the left showing start and end dates.

To change the timeframe shown:

  1. Click the view period selector at the top of Timeline View

  2. Choose Monthly, Quarterly, or Yearly

To view a phase's tasks:

  1. Click into the phase on the timeline, or click its name in the list on the right, to open its associated tasks

The project team is shown at the top of Timeline View, so you can see who's assigned to the project at a glance.

When to use Timeline View: you need a comprehensive view of your project schedule, you're tracking key dates and milestones, or you're planning resource allocation over time.
