How to set up Procurement in your Schedule

This guide shows you how to enable procurement tracking in your schedule and use the detailed procurement view so you can manage order dates, shipment tracking, and procurement documents all in one place.

Enabling Procurement in Your Schedule

Procurement is off by default. Once you switch it on, a Procurement tab appears in your Schedule toolbar, to the right of Summary.

How to enable Procurement in Your Schedule

  1. Open your Schedule

  2. Click the Three Dot Icon at the top right of your Schedule

  3. Switch on Show Procurement

  4. Click the Procurement tab that now appears in your Schedule toolbar

Important: To display items in the Procurement Hub, you'll need to set up the Procurement view in your schedule and ensure the items have open dates.

Adding key dates to a product

Each product row has eight date fields.

  • Procurement dates: order, ship, delivery, and installation

  • Payment dates: client deposit, supplier deposit, client balance, and supplier balance

To remove a date:

Hover over the date and click the X. This clears it from your Schedule and removes it from Procurement Hub.

Note: Dates are added one product at a time. It isn't currently possible to apply a date across multiple products at once.


Using the detailed Procurement view

The Details panel is where you manage the additional information behind each order — order references, shipment tracking, and attachments.

To open it, click Details at the end of your product row, then select the Procurement tab.

From here you can add:

  • Order reference: a purchase order number, supplier invoice number, quote reference, or your own reference

  • Tracking number: the carrier's tracking code

  • Tracking URL: a link to the carrier's tracking page

  • Shipment notes: delivery instructions, special handling, or other details

  • Attachments: drag and drop files into the upload box, or click to browse

Note: Procurement attachments are not published to your shared Schedule. To share documents with clients, upload them to the Product Attachments field instead.

Tip: Add an order reference so you can filter by order reference in Procurement Hub.

To tick off a completed date:

Once a date has passed — a deposit paid, a delivery received — click the checkbox beside that date in the Details panel.

The tick then shows against the date in your main Schedule view, and the item drops out of Procurement Hub.

Note: Any invoice or purchase order raised for a product connects to it automatically. Invoices are listed at the top of the panel and purchase orders at the bottom, and you can open either in a new tab. Invoices can also be downloaded as a PDF.
