How to request supplier quotes from your Schedules

Send quote requests to suppliers directly from your Schedule. Request pricing for multiple products at once

This guide shows you how to request quotes directly from your schedules, so you can save time, compare prices efficiently, and streamline supplier communication.

Setting up supplier contacts

If your supplier doesn't appear in the dropdown menu, they need a designated point of contact:

  1. Go to your Address Book and click the pencil icon or See All Contacts to open the supplier's contact card

  2. On the left side, you'll find the supplier's business details. The designated contact person should be entered in the top-right section

  3. Click + Add New, then enter the Contact Name, Role, Email, and Phone (optional)

  4. Return to your Schedule—the supplier should now appear in your dropdown list

Note: Each product in your schedule must have a Supplier linked with a designated point of contact. Navigate to the 'Supplier' field and select the appropriate contact from the dropdown menu.


Requesting bulk quotes

You can send quote requests to multiple suppliers at once. Suppliers will only receive details about their own products—not your entire schedule.

  1. Open your Schedule and ensure each product has a Supplier assigned

  2. Click Get Quotes in the top-right corner

  3. Choose to send requests to all suppliers or select specific ones using the checkboxes

  4. Add an optional message with project details to help suppliers generate accurate quotes

  5. Click Send Quotes

Suppliers will receive a detailed quote request email that includes your name and contact email, the project name, a line-by-line breakdown of requested products, and your optional message. You'll also receive a copy for your records.

Note: Products marked as Quoting, Closed, Rejected, Ordered, Payment Due, In Production, In Transit, Installed, or Delivered are automatically excluded from bulk requests to prevent duplicate quotes.


Requesting single quotes

You can request quotes individually when you need specific information about a product.

  1. In your Schedule, locate the product row and click Get Quote

  2. Add an optional message with relevant project details

  3. Click Send Quote

The supplier will receive a comprehensive quote request email similar to the bulk request, but for the individual product only. Once sent, communication continues via your email inbox.


Understanding supplier quote emails

When suppliers receive your quote request, they'll see:

  • A subject line indicating New Quote Request

  • Your studio name and logo

  • The supplier's name and a message that you've requested a quote

  • A list of requested products with detailed specifications

  • A View Entire Message button to see all details at once

  • Clickable product links for detailed item specifications to ensure accurate pricing

Frequently Asked Questions

Why can't I add a product to my quote request?

Products marked with certain statuses are automatically excluded from bulk requests to prevent duplicate quotes. These statuses include: Quoting, Closed, Rejected, Ordered, Payment Due, In Production, In Transit, Installed, and Delivered.

Can clients see my trade pricing and markup?

To hide trade pricing, ensure Add Mark-up is toggled on in your financial settings. If your Add Mark-up toggle is off and you've chosen to share pricing with clients via PDF or live sharing options, they will be able to view your RRP and Trade prices.

Are the prices on my Schedule shown inclusive or exclusive of tax?

You can select your tax preferences within your project to show pricing as either inclusive or exclusive of tax. Set your local tax rates and preferences at an organizational level, then apply these to your project. Once set, tax rates from your Client Price will be calculated accordingly.

How do I exclude markup from tax calculations?

Navigate to your financial settings and toggle off the Add Markup feature. However, note that your markup cannot be excluded from tax calculations while also showing markup and tax totals separately—the tax will always be based on the total client price, which includes markup if enabled.
