How to record a round of changes and check product history

Add revision notes, check recorded product changes, and find PDFs you have issued.

Written by Gail Esterhuyse

Add a revision to group products changed in the same round of work. Use revision notes to explain those changes.

To check recorded edits to one product, open Activity. To find a PDF you previously issued, open Issues.

Question

Where to look

Which products changed in a round, and what changed?

Revision and its notes.

What changed on this product, when and by whom?

The product's Activity tab.

What was in the PDF we issued?

Issues.

Add a revision to the affected products

  1. Select the checkbox beside each product you changed.

  2. Open Actions in the bottom bar, or press A.

  3. Select Add revision….

  4. Select an existing revision. To create a new round, select + Add revision.

  5. For a new revision, enter a Revision reference, such as “Post-client meeting”. Enter a Revision summary to explain the round of changes.

  6. If needed, enter a note in Changes to this product. For example: “Finish changed from white to black”.

  7. Check the notes and select Add revision.

You cannot edit notes after you apply the revision. To correct a note, add a new revision.

Every selected product receives the same notes. To add a different explanation for one product, right-click its row and select Add revision.

Review or remove a revision

Open Filter and select Revision to find a round of changes.

In each view, the product’s revision flag shows the revision title and the note for that product.

To remove a revision from one product:

  1. Right-click its row.

  2. Select Add revision, then No revision.

Before you export, check which products are selected. Only products with Revisions includes products that have a revision. It does not restrict the export to the latest round of changes.

Check an individual product's history

  1. Open the product's details.

  2. Select Activity.

  3. Choose a filter:

    • All: events in order.

    • Revisions: revisions assigned to this product.

    • Updates: automatically recorded field changes.

  4. Select View more for older entries.

Each recorded update shows which field changed, its previous and new values, who changed it, and when. Activity also shows client approvals and rejections.

History records changes to specific product, category specification and procurement fields. It does not record every field.

When the same person makes consecutive edits, history combines them into one entry that shows the overall change.

Find a PDF you have issued

An issue saves the exact PDF you exported for a named round.

Enter an Issue title when you export. To find the dated record later, open the … menu and select Issues. You cannot edit this record.

Use Issues to retrieve the PDF as it was issued. Later changes to product records do not change that PDF.
