How to update product details from a supplier website

Update an existing product with supplier information. Check which details can change and how to match the correct product.

You can update an existing product with information from a supplier website. Use Update from URL in your schedule, or use the Web Clipper while you browse the website.

You can also use either method to add details to a placeholder product. Before you update, check which information can change. An update can replace or clear details you entered manually.

1. Update a product from your schedule

  1. Open the product page on the supplier website. Copy the page URL.

  2. Right-click the product row in your schedule.

  3. Select Update from URL.

  4. Paste the URL.

  5. Select Update.

The update replaces the product name, description, SKU, brand, colour, finish, material, product URL and RRP with information from the website. If the website does not supply a value, that field is cleared. Category specifications that the website does not include are also cleared.

The update also replaces the product's images, including images you uploaded. Up to four images from the website are added.

This also applies to details you entered manually. Before you update, note any details you want to keep. The update never changes notes, quantities or trade prices.

Open the product’s Attachments tab after the update. Check any attachments added from the supplier website.

The update does not fill the Supplier contact automatically. Select the supplier representative from your Address Book.

2. Update a product with the Web Clipper

Before you start, install the Programa Web Clipper in Chrome.

The Web Clipper uses the Doc code to find the product to update in your selected project. It updates a product only when exactly one product in that project has that code. Check the code and project carefully.

  1. Find the product in your schedule. Note its Doc code.

  2. Open the supplier's product page.

  3. Select the Programa Web Clipper icon in Chrome.

  4. Select Smart Fill to capture the information and images.

  5. Enter the product’s Doc code in the Web Clipper. Check that it matches the code in your schedule.

  6. Select Clip. Choose the project that contains the product you want to update.

  7. Return to the project and refresh the page.

  8. Check the updated product details.

Check the Doc code before you clip

  • If more than one product in the selected project has the same Doc code, the Web Clipper does not update any of them. It adds a new product instead. Give the product a unique code before you clip. Products in other projects do not change.

  • If the product has no Doc code, give it a temporary code in your schedule. Use that code in the Web Clipper. You can remove it after the update.

  • If you use Doc codes for different product options in one project, clip a new product without a code. This helps prevent changes to existing options. Add the code after the new product appears in your schedule.

Check the product details and attachments after each update. Make sure they are correct before you use the specification.
