Meeting Notes - Getting Consent

We recommend always asking for consent before transcribing others.

Consent Requirements:

Depending on where your meeting participants are located, you may need to get consent from participants in meetings prior to using Meeting Notes to transcribe.

Ultimately, you are responsible for obtaining consent from participants where required by law. Regardless of whether you are legally required to do so, we strongly recommend that you always ask for consent before transcribing.

Are we storing Audio?
Yes, when you use Meeting Notes, Programa captures the audio so it can be transcribed and turned into a summary. For details on how we store, process and retain this data, see our Data Processing Addendum.

Who can see a recorded meeting?

By default, a new meeting is shared with everyone assigned to the project, and team members can view and edit it. The person who recorded it stays the owner and controls access from the Share meeting → Team tab, where edit can be switched off per person.

You can also publish a meeting beyond your team — to a client via the Client Dashboard, or to a public web link. Client and web access is always view-only, and four content toggles (Overview, Notes, Task Status, Attachments) let you choose exactly what each recipient sees. Nothing is shared outside your team unless you publish it.

Can I permanently delete the recording?
