How to manage pages and presentations

This article covers how to view, add, reorder, duplicate, copy, and delete pages within a presentation, and how to duplicate, copy, or delete a whole presentation.


How to view all the pages in a presentation (thumbnail slider)

Every presentation has a thumbnail slider on the right side of the editor, showing a small preview of every page in the presentation.

  1. Click the slider tab on the right side of the page to open it.

  2. The slider expands and shows a thumbnail for every page in the presentation.

  3. Click a thumbnail to jump straight to that page.

  4. Click the slider tab again to close it.


How to add a new page

  1. Click AddPage in the Command Bar.

  2. A new blank page is inserted right after the page you're currently viewing.

How to reorder pages

  1. Open the thumbnail slider on the right side of the editor.

  2. Click and drag a page's thumbnail to its new position in the slider.

  3. Release. The page moves to that position in your presentation.


How to duplicate a single page

Three ways to duplicate a page within the same presentation:

  • Keyboard shortcut: hold Option (Mac) / Alt (Windows) and drag the page on the canvas to drop a duplicate at a new position.

  • From the page itself: hover over the top-right corner of the page and click the duplicate icon.

  • From the thumbnail slider: open the slider, click the three-dot icon on the page you want to duplicate, and select Duplicate.

How to copy a single page to another presentation

  1. Open the thumbnail slider on the right side of the editor.

  2. Click the three-dot icon on the page you want to copy.

  3. Select Copy to.

  4. Choose the destination presentation.

How to delete a single page

Two ways to delete a page:

  • From the page itself — hover over the top-right corner of the page and click the delete icon.

  • From the thumbnail slider — open the slider, click the three-dot icon on the page you want to delete, and select Delete (currently labelled "Delete sheet" in the menu — same thing).


How to duplicate a presentation (within the same project)

If you want a copy of an entire presentation in the same project:

  1. Click the three dots menu at the top right of the page.

  2. Select Duplicate presentation.

  3. A copy of the whole presentation appears as a new file in the same project.

How to copy a presentation to another project

If you want to reuse a presentation in a different project — for example, a studio cover-page layout or a documentation pack you use as a template:

  1. Click the three dots menu at the top right of the page.

  2. Select Copy to.

  3. Choose the destination project.

  4. The whole presentation is copied across as a new file in that project.

📌 Heads up — product pins don't copy across when you copy a presentation to a different project. Pins are linked to specific products in the source project's schedule, and those products don't exist in the destination project. Images, text, shapes, and scene pins copy across as expected.


How to delete a presentation

  1. Click the three dots menu at the top right of the page.

  2. Select Delete.

  3. Confirm the deletion when prompted.

⚠️ Note— deleting a presentation is permanent. All pages, pins, and content are removed and can't be recovered.


How to use Page Styles

Page Styles let you create reusable page templates — with logos, borders, text, or other branded elements — and apply them across pages in any presentation.

How to create a Page Style

  1. In the thumbnail slider on the right side of the editor, click the Page button.

  2. Select Page Styles.

  3. Click '+' Add to create a new page style. You can create as many as you need — for example, a title page style, a content page style, a branded border style, and so on.

  4. Add elements to the style as you would on a regular page — shapes, text, logos, or a PDF template.

💡 Tip: if you upload a PDF as your template, it will be applied as a single image layer. You won't be able to edit it once uploaded, but it will apply consistently to every page that uses that style.

Why can't I import a PDF into a page style after it's created?

PDF import isn't supported once a page style already exists. If you need to add a PDF later, save it as a JPEG image and add that instead.

How to apply a Page Style to a page

  1. Click the three-dot icon on the Page Style you want to use.

  2. Select Duplicate to new page to apply it to a new page, or Apply to specific pages / Apply to all pages to push it across your existing pages.

  3. You can also click the three-dot menu next to a page thumbnail and select Apply Page Style from there.

How to edit or delete a Page Style

Click the three-dot icon on the Page Style and select Delete to remove it, or click into the style to edit its contents.

Why can't I edit elements on a page that has a page style applied?

Elements from a page style are locked on every page that uses it. This keeps the design consistent — editing one page won't accidentally change all the others.

How to edit a page style element on one page only

  1. Hold Cmd+Shift (Mac) or Ctrl+Shift (Windows).

  2. Click the locked element.

  3. This unlocks a separate, editable copy of that element — just on that page. The page style itself, and every other page using it, stays unchanged.

Note: changes to a Page Style apply going forward. Pages you've already applied the style to won't update automatically.
